Print on Demand vs Bulk Printing: When Each Makes Sense

Print on Demand vs Bulk Printing: When Each Makes Sense

“Should I print a lot now or order small batches as I need them?” It’s one of the most common cost questions clients bring to us. The answer is sometimes counter-intuitive, because the math isn’t just about per-unit price — it’s about waste, storage, and how often your content changes.

Bulk printing: the volume discount story

Most print processes have significant setup costs. The first piece off the press costs almost the same as the 500th. That’s why printing 1,000 brochures costs maybe twice what 100 brochures cost — most of that money pays for setup, plates, and configuration, not the marginal paper and ink. If you know you’ll use the volume, bulk wins on per-unit cost by a wide margin.

Print on demand: the agility story

The case for smaller, more frequent runs: less storage, less obsolete inventory when your menu changes, freedom to test designs without committing. If your phone number changes, your bulk order of 2,000 business cards becomes 2,000 cards in the dumpster. If you reprinted them every 3 months, you swap them out and move on.

How to decide

Ask yourself: will the information on this printed piece be the same a year from now? If yes (your logo, your address, your phone — for an established business), bulk makes sense. If no (current pricing, current menu, current promotion), smaller runs are safer.

The hybrid approach

Many of our clients use a hybrid model. They bulk-print their “permanent” pieces (business cards, branded folders, evergreen brochures) and use smaller, more frequent runs for promotions and seasonal pieces. The fixed marketing assets get volume pricing; the changing content stays current.

Watch out for “too good to be true” online prices

Bulk pricing from out-of-state online printers often looks unbeatable. What you’re sometimes paying for in the difference: lower paper quality, less precise color, shipping fees, and the inability to walk in and ask a question. The cheapest per-unit price isn’t always the cheapest project. Sometimes it is — but it’s worth asking what the trade-offs are.
